Packers and Movers Bill for Company Reimbursement: What HR Actually Needs

A relocation allowance is one of the easiest benefits to lose to paperwork. The move goes fine, the boxes are unpacked — and then finance bounces the claim because the bill has no GSTIN, or the payment went from your spouse's UPI, or the invoice says “transport charges” for what your policy calls “household shifting”. The document set HR and finance actually want

  1. GST tax invoice.The core document. It must show the mover's legal name, address and 15-digit GSTIN, an invoice number and date, a description of the service (e.g. “household shifting — packing, transport, unloading”), the taxable value, the GST rate and amount, and the total. Anything less — a plain letterhead “bill”, a WhatsApp screenshot — is where most rejections start.
  2. Consignment note / docket copy.The transport document showing origin, destination and date. It proves the move physically happened between the two cities your claim mentions — the thing finance can't verify from an invoice alone.
  3. Payment proof that matches. UPI or bank transfer from your account, for the invoice amount, to the mover's business account. Cash is technically money and practically a rejection.
  4. The written quotation (some policies ask for it, a few want two or three comparative quotes). Keep the quote the mover gave you after the survey; if your policy needs competing quotes, collect them before booking, not after.

Name on the invoice

Decide before the move: your name (you claim reimbursement) or your employer's name and GSTIN (they pay directly and may take input credit). Re-issuing an invoice later in a different name is messy at best. When you book with us, we simply ask — it's a thirty-second question.

Service description matching your policy

If your policy reimburses “household goods shifting”, an invoice reading only “freight charges” invites a query. A proper invoice describes the actual service: packing, loading, transport, unloading, and — if you used it — vehicle transport or storage as separate lines. Itemised lines also help when a policy caps some components (say, vehicle transport) but not others.

Insurance as a line item

Why the GSTIN matters more every year

An unregistered operator's bill fails that check, and the claim fails with it. This is the quiet, practical reason to book a registered company even when a cash-only crew quotes less: the reimbursement difference usually exceeds the price difference.

A one-week-before checklist

  • Read your HR relocation policy: caps, required documents, invoice name.
  • Confirm the mover is GST-registered and will issue a tax invoice (we do, on every move).
  • Tell the mover the invoice name/GSTIN to use — yours or the company's.
  • Pay the advance and balance digitally from your own account.
  • After delivery, collect: tax invoice, consignment copy, and (if insured) the policy/premium receipt.
  • Photograph everything and file the claim while the move is fresh.
