Office Shifting in Bangalore: A Checklist That Keeps Downtime Near Zero

4–6 weeks out: decisions and lead times

  • Order internet connectivity at the new office now. Leased lines take 2–4 weeks to provision — the longest lead time in the whole project.
  • Fix the move weekend and check both buildings' rules: service-lift booking, loading bay access, permitted working hours, security passes for crew.
  • Survey and book the mover. A serious office quote follows a site visit — seat count, server room, storage volume, access at both ends. Get it fixed and written.
  • Plan the new floor layout down to desk numbers. Every hour spent on the seating plan saves three on moving day.
  • Purge. Old CRT-era equipment, dead files, chairs nobody sits on — an office move is the cheapest decluttering opportunity you'll ever get. Less volume, lower quote.

2–3 weeks out: IT and communication

  • Write the IT cutover plan. What shuts down when, who takes backups, which systems must stay live (move them last, or run them remote for the weekend).
  • Verified backups of everything that travels — servers, NAS, critical workstations. The truck is safe; the rule is paranoia anyway.
  • Tell your people the plan: move dates, the one-crate-per-person rule, what Friday evening looks like, where they sit on Monday (share the numbered layout).
  • Update the address everywhere it lives: GST registration, bank records, website, Google Business Profile, vendor accounts, courier subscriptions, visiting cards.
  • Book parallel services: electrician and network cabling at the new site, AC servicing, access-card programming, signage.

Move week: tagging and sequence

  • Asset tagging. Every item gets a numbered label keyed to the new floor plan: desk 14's monitor is tagged 14, lands at desk 14. This single habit is most of the difference between a smooth Monday and a scavenger hunt. It's standard in our office shifting service.
  • Photograph cabling before anything is unplugged — each workstation's rear panel, the network rack, the UPS chain.
  • Employees pack their crate Thursday/Friday: drawer contents, peripherals, personal items. Laptops go home with their owners, not on the truck.
  • Confirm the timeline with the mover's supervisor: crew size, truck count, lift bookings at both ends, security clearances.

The weekend: execution order

  1. Friday evening: IT shutdown per the cutover plan. Crew packs and wraps — monitors in padded cartons, chairs and desks dismantled and tagged, cables bagged and labelled per desk.
  2. Saturday: Load in reverse-need order (what must work first goes in last, comes out first). Transport, unload, place by tag number against the floor plan.
  3. Sunday: Reassembly, then IT reconnection — rack first, network next, workstations last. Then the smoke test: internet up, Wi-Fi broadcasting, printers printing, a workstation from each team logged in and working.
  4. Monday 8am: IT person at the door, movers' supervisor on call, and a snag list that gets shorter by the hour instead of a crisis.

Two things companies forget

Insurance:transit cover for a truck full of electronics is cheap relative to what's on it, and the premium is a clean line on a GST invoice your finance team will actually want — the same paperwork logic as employee relocation claims.

The overlap week:if the leases allow it, keep the old office for a few days after the move. It converts every “we forgot X” from a crisis into an errand — and gives you a fallback if the new site's fibre slips. No overlap possible? Short-term storage absorbs the difference.
